Introduction
FleetSync provides operational infrastructure for complex mobility fleets (the “Service”). The Service is operated by 7VX LLC, a Florida limited liability company (“FleetSync”, “we”, “us”, or “our”). This Privacy Policy explains how we handle personal information in connection with our website and applications that link to it.
FleetSync is a business-to-business product. We act in two distinct roles:
- As a controller, for personal information relating to the individual users who access the Service (for example, account and login information). This is described in “Information we collect” below.
- As a processor, for the data our enterprise customers upload to or connect with the Service. We handle that data on our customers’ behalf and under their instructions. This is described in “Customer data we process” below.
Information we collect (as a controller)
This section covers personal information about the individual users of the Service.
Account and profile data. To use the Service you need an account. We store your name, email address, and (where applicable) a password. Most users are provisioned by our enterprise customers and sign in via single sign-on; some external users are invited and register with a personal email address. You may upload a profile photo; if you sign in with Google, we may use the profile image URL provided by Google instead.
Login and single sign-on data. You can sign in using Google or your organization’s SAML-based single sign-on. When you do, we receive your name and email address from the identity provider to create and authenticate your account.
Mobile app location. With your permission, our mobile app accesses your device’s location only while the app is in use, to show your position on the map. We do not collect location in the background and we do not track your movements.
Photos. The app lets users capture photos for vehicle inspection purposes. These are photos of customer vehicles and are stored as part of the Service. Inspection photos may include location metadata. They are not intended to contain images of people.
Usage and device data. We use Sentry for error monitoring and diagnostics for signed-in users. This may include technical information such as device and browser type, operating system, IP address, and details about errors and interactions with the Service, so we can detect and fix problems.
Customer data we process (as a processor)
Our enterprise customers use FleetSync to manage their fleets. The data they upload to, or connect with, the Service is processed by us on their behalf and under their instructions. This includes:
- Vehicle and telematics data, including vehicle details and vehicle location, which may reflect activity by the customer’s employees or third-party drivers.
- Vehicle documents, such as registrations and titles.
- Customer business information, such as the customer’s legal entities and identifiers (for example, EIN).
- Connected platform data, where a customer connects an external account from which we pull data to process within the Service.
We do not sell or share this data, and we use it to provide the Service to the customer. We may also use it to operate, secure, and improve our Service. Where we process personal data on behalf of a customer, that processing is governed by a Data Processing Agreement between FleetSync and the customer.
FleetSync does not establish the relationship with the drivers whose activity may be reflected in vehicle data. Those individuals are governed by the agreements between our customers and their own service providers, and it is our customers’ responsibility to provide any required notices and obtain any required consents.
How we use information
We use personal information to:
- Provide, operate, maintain, and secure the Service;
- Authenticate users and manage accounts;
- Provide customer support and send service and administrative messages;
- Detect, prevent, and address technical issues, fraud, and security incidents;
- Analyze and improve the Service; and
- Comply with applicable law and enforce our terms.
How we share information
We do not sell personal information. We share information only as needed to run the Service:
- Service providers (sub-processors). We rely on a small number of trusted vendors to operate the Service, including cloud hosting and infrastructure (Google Cloud Platform), email delivery (Mailgun), and telematics messaging (Flespi). They may process information only to provide services to us.
- Legal and safety. We may disclose information where required by law or legal process, or where reasonably necessary to protect the rights, property, or safety of FleetSync, our users, or others.
- Business transfers. Information may be transferred as part of a merger, acquisition, financing, or sale of assets.
Data retention
We retain personal information for as long as needed to provide the Service and for legitimate business or legal purposes (such as security, dispute resolution, and compliance). When we no longer need it, we delete or anonymize it. Customer data is retained according to our agreement with the customer and is deleted or returned at the end of the engagement.
Security
We use technical and organizational measures designed to protect personal information against unauthorized access, alteration, or loss. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, or to object to or restrict certain processing. To exercise these rights, contact us at support@fleetsync.io. If you are a user provisioned by an enterprise customer, we may direct your request to that customer, who controls the relevant data. We may need to verify your identity before responding.
United States. If you are a California resident, you may have rights under the California Consumer Privacy Act, including the right to know, delete, and correct your personal information, and to not be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined under California law.
Europe and the United Kingdom. Where the GDPR or UK GDPR applies, 7VX LLC is the controller of the personal information described in “Information we collect”. We process it on the legal bases of performing our contract with you, our legitimate interests in operating and securing the Service, your consent (for example, app location access), and compliance with legal obligations. You also have the right to lodge a complaint with your local data protection authority.
International data transfers
The Service is operated from the United States, and our current and intended customers are based in the United States. If we transfer personal information from Europe or the United Kingdom to a country that requires additional safeguards, we will put appropriate measures in place, such as the standard contractual clauses.
Children’s privacy
The Service is intended for business use and is not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be communicated as required by law or through the Service.
